Phoenix Booth Rental & Custom Exhibit Options
Choose the footprint around what visitors need to see and do. Our trade show booth rental service can combine reusable structures with custom graphics and selected fabricated features. These are planning directions, not fixed packages, a stock list or price offers.

Real Phoenix Project: Nira at CLEANPOWER 2025

Client need: Explain renewable-energy interconnection solutions through digital presentations and conversations with project teams.
Layout: Three monitors were distributed across a blue-and-white backwall, with a taller central brand panel. Curved counters marked the two front ends, while white tables and chairs provided several places for conversations within the 200-square-foot footprint.
Project scope: Exhibitsmax provided booth design, 3D visualization, fabrication, graphics, transportation and show-site installation, together with rental elements, storage, dismantling and pre-show assembly. Custom-fabricated components and rental elements were coordinated within the same exhibit.

Planning for Phoenix Convention Center
Start with the assigned building, hall, booth number, floor plan and current exhibitor service kit. The venue name alone does not establish receiving instructions, provider responsibilities or access times.
- Freight receiving: Confirm the advance warehouse or direct-to-show destination, labels, receiving dates and carrier check-in. A visitor entrance is not a freight delivery address.
- Transportation vs. drayage: Carrier freight brings the shipment to the agreed receiving point. Event material handling may cover unloading, booth delivery, empty-container storage and outbound loading. Confirm the rate basis, minimums and handling scope in your show kit.
- Electrical and internet: Map each screen, computer, lighting circuit and demo requirement. Confirm the current ordering process, designated providers and connectivity needed for live presentations.
- Installation and move-in: Coordinate crew access, floor installation, utility work and booth assembly. Review applicable contractor documentation and working windows before scheduling labor.
- Structures, rigging and equipment: Review height, sightlines, suspended loads, approvals and equipment access against the current event documents and applicable venue requirements.
- Move-out: Confirm container return, dismantling, repacking, outbound paperwork and carrier pickup before the show closes.
Use the Phoenix Convention Center planning resources and Event Planner Manual alongside your current show instructions. Our proposal identifies the booth work and the services that need separate ordering or confirmation.

Las Vegas Production to Phoenix Installation
Our production operation is based in Las Vegas. Phoenix delivery and installation are coordinated around your event’s receiving and move-in windows; we do not assume one standard transport schedule.
- Design and approvals: Agree on the layout, functions, equipment and 3D concept; identify required approvals.
- Production and graphics: Prepare structures, fabricated features and custom graphics from approved files.
- Pre-show checks and packing: Agree on pre-assembly and inspection scope. Review fit, finish, screens, component labels, protective packing and installation instructions.
- Freight and receiving: Coordinate exhibit transportation, shipment labels and delivery to the agreed warehouse or venue receiving point.
- Installation and handover: Coordinate booth assembly, graphics, screens, furniture and service handoffs through the agreed installation and dismantling scope.
- After the show: Repack and arrange return freight, storage or onward transport. Project management connects the production, freight and site responsibilities.
Phoenix & Nearby Metro Convention Venues
- Phoenix Convention Center — Phoenix: Confirm the assigned North, West or South Building and hall with the organizer.
- WestWorld of Scottsdale — Scottsdale: Confirm the exact building or event area and its delivery, utilities and installation arrangements.
- Mesa Convention Center — Mesa: Review the venue’s own exhibitor and service instructions.
- Arizona State Fairgrounds and Chateau Luxe — Phoenix: Confirm the property, room or event area and the relevant access and service plan.
Scottsdale and Mesa are separate cities within the wider metro market. Do not apply Phoenix Convention Center receiving instructions or service orders to another venue.
What’s Included in Your Phoenix Booth Quote?
For software demonstrations, equipment rental is only part of the plan. Identify who supplies devices, content, connectivity and venue power for the assigned Phoenix hall.
“May be included” is not a standard package promise. The written proposal determines inclusions, quantities and exclusions. Confirm separately does not always mean an extra charge; it means the item must be specifically agreed.
| Item | May be included in our quote | Confirm separately |
|---|---|---|
| Graphics | Agreed artwork preparation, printing and graphic installation. | Print-ready files, dimensions, substrates, quantities, proofs and revisions. |
| Furniture | The counters, tables, chairs or lounge pieces listed in the proposal. | Models, quantities, rental dates, availability and any substitution. |
| AV & lighting | Specify monitors, playback and cables; internet reliability, computer provision and venue electrical orders require confirmation. | Exact equipment, setup and support; venue electrical service and internet only if expressly itemized. |
| Transportation | Specified packing and freight to the agreed receiving point; return transport if listed. | Confirm building, hall, warehouse or venue delivery and the return route. Unloading, material handling and empty-container arrangements must be identified separately from freight. |
| Installation & dismantling | Agreed booth assembly, dismantling and site coordination. | Define booth assembly, screen setup and demo checks; venue connections and software support are separate unless listed. Confirm equipment, overtime and changes outside the agreed scope. |
| Venue & show services | Order coordination or specific third-party services only when expressly listed. | Material handling, electrical, internet, rigging, cleaning and applicable event fees: confirm provider, ordering deadline, payer and charges. |
Review booth rental, exhibit transportation and installation and dismantling against your current exhibitor manual. Send the manual with your brief so third-party services can be identified early.
Phoenix Trade Show Booth FAQs
Can I rent a booth for a Phoenix trade show?
Yes. We can plan a rental or hybrid exhibit around the assigned footprint, graphics, displays and budget. Confirm the specific structure, components, rental period and installation scope in the proposal.
What is included in a Phoenix booth rental quote?
Only the items listed in the written proposal are included. Design, rental structures, graphics, furniture, AV, freight and installation can be scoped together. Electrical, internet, rigging, material handling and other event services require separate confirmation unless expressly itemized.
Can a 10×20 booth include several screens and meeting space?
Nira’s completed Phoenix project combined three monitors, counters and seating. Your own layout depends on device sizes, operators, visitors, storage and open sides. Confirm power and connectivity before finalizing a live demo.
How early should I start planning?
Work backward from the show’s approval, service-order, freight and move-in deadlines. Custom structures, equipment and AV may need more preparation than a simpler rental. We confirm feasibility after reviewing the brief and schedule.
Do you have a factory in Phoenix?
Our production operation and headquarters are in Las Vegas. We coordinate preparation, freight and show-site execution for Phoenix projects.
Have you completed a booth at Phoenix Convention Center?
Yes. The Nira CLEANPOWER 2025 case study includes the completed 10×20 Phoenix exhibit and its project scope.
What should I send for a Phoenix booth quote?
Share your show and dates, venue and hall, booth number, size, floor plan, display needs and target budget. Include screen or equipment specifications, internet and power needs, meeting requirements, shipping origin and the current exhibitor manual.
