What Determines Your Exhibit Shipping Plan

Crate Count & Inventory

List crates, skids, loose components and accessories so the shipment can be checked at each handoff.

Shipment Dimensions & Weight

Provide packed dimensions and weights, including oversized, fragile or non-stackable items.

Pickup Location & Ready Date

Confirm the origin address, loading access, pickup contact and when the shipment will be ready.

Delivery Dates & Destination

Identify the show, venue, receiving address and required delivery window.

Venue Receiving Requirements

Share the exhibitor manual, advance-warehouse or direct-to-show instructions, labels and delivery references.

Special Handling & Return Plan

Flag handling constraints and confirm whether the shipment returns to storage, travels to another event or goes to another approved address.

Exhibit Freight Options: LTL, Dedicated Truck & Time-Critical Freight

Exhibitsmax can arrange or coordinate these transportation options around your packed shipment, pickup location and event schedule. We review carrier availability and receiving requirements before confirming the service.

LTL Freight

Less-than-truckload shipping may suit crated or palletized exhibit components that do not need a dedicated vehicle. Review packed dimensions, weight, stackability, protection and the available transit window when evaluating an LTL option.

Dedicated Truck

A dedicated vehicle may suit a larger shipment or a project requiring a specific loading and delivery plan. Confirm vehicle capacity, loading access, securing requirements and pickup and receiving appointments against the actual inventory.

Time-Critical Freight

For a short shipping window or schedule change, we can review time-critical options with carriers. Feasibility depends on shipment readiness, route, available capacity and the show’s receiving window; expedited transport does not override venue access rules.

Share crate dimensions, weights, ready date and required arrival date so we can compare suitable options. Carrier transit, event material handling and installation remain separate responsibilities unless explicitly included in the agreed scope.

Protective Packing

Booth components, graphics, AV equipment and accessories are organized and protected for transportation based on their size, weight and handling requirements.

From Production Completion to Freight Pickup

After production and pre-show checks, the factory handoff focuses on dispatch readiness. Match the packed inventory, crate labels, dimensions and weights to the shipping instructions. Confirm the pickup contact, loading access and actual ready date with the carrier before releasing freight for the agreed receiving window.

Coordinating Freight With Installation and Move-Out

Coordinate component delivery and unpacking with the installation sequence.

Carrier arrival, venue receiving and delivery to the booth are different handoffs. We align freight references, on-site contacts and target delivery windows with the installation team so the crew can plan around material availability. Venue material handling is coordinated with the event’s designated provider according to the current exhibitor manual.

Before move-out, confirm the destination, outbound carrier, packing plan, labels and required release paperwork. Dismantling, empty-container return and carrier pickup must fit the show’s schedule; a booked truck alone does not complete the outbound handoff. For a trade show booth rental, confirm the return destination and timing for rented components as part of the outbound plan. For Music City Center projects, review Nashville exhibit transportation and delivery planning alongside your event’s receiving instructions.

For the Las Vegas-to-LACC handoff, review our Los Angeles exhibit freight and installation planning. Confirm the event’s actual receiving address, delivery window and material-handling arrangements before dispatch.

For exhibit transportation and booth support in Dallas, review the large-sample brief and receiving handoffs. Packed dimensions, weights, handling needs and the actual DFW venue should be confirmed together.

For an OCCC shipment, our Orlando exhibit logistics and booth support overview connects the booth scope with receiving, material handling and installation responsibilities. Confirm the event’s actual delivery address and receiving window before dispatch.

For freight going to Phoenix Convention Center, our Phoenix exhibit transportation and booth support overview connects Las Vegas packing and dispatch with event-specific receiving and installation. Confirm the assigned building, delivery address and receiving window before booking freight.

Venue receiving → unloading and booth delivery

Freight transportation and event material handling are separate handoffs. Receiving windows and charges follow the current show manual.

Advance Warehouse

Freight is sent to the show’s designated warehouse during its published receiving window, then transferred to the venue under the event’s material-handling arrangements.

Direct-to-Show

Freight goes to the venue during the permitted receiving or target window. Plan carrier arrival around show-site access, unloading and installation timing.

Choose Around the Schedule

Review the current exhibitor manual, production finish date, route, receiving deadlines and installation plan. Charges and restrictions are event-specific.

Transportation vs Drayage: What Is the Difference?

Transportation: Origin to Receiving

A carrier moves the packed exhibit from its pickup location to the designated advance warehouse or show-site receiving point. Confirm the pickup, destination, shipment details and delivery window in the transportation scope.

Drayage: Receiving to Booth

Material handling covers movement within the event’s receiving and show-floor arrangements. It may include unloading, booth delivery, empty-container handling and outbound loading, depending on the show’s service terms.

Separate Handoffs and Charges

A freight booking does not automatically include delivery inside the booth, installation or venue services. Identify who orders each service, who receives the freight and which charges are included in the proposal.

Confirm material-handling inclusions and charges with the show contractor before booking. For background, see Freeman’s freight and material-handling guide. The AHR Expo official shipping overview provides an event-specific example; always use the manual for your own show and year.

Exhibit Transportation FAQs

What is the difference between freight and drayage?

Freight is the transportation of your shipment to or from the show destination. Drayage, also called material handling, is the venue-side movement from the receiving point to the booth and is normally ordered and billed separately.

Should we ship to the advance warehouse or directly to the show?

It depends on the event schedule, receiving rules, production timing and carrier route. We review the exhibitor manual and project dates before recommending the lower-risk option.

Can you coordinate transportation after the show?

Yes. The outbound plan can cover return to storage, delivery to another event or shipment to an approved destination. Instructions and labels should be confirmed before move-out.

What information is needed for a transportation estimate?

We need pickup and delivery locations, dates, crate count, dimensions, weights, show information and any special handling requirements. Final cost may also depend on waiting time, re-delivery or venue restrictions.
