RENTAL DECISIONS & EXHIBITOR RESOURCES

Trade Show Booth Rental Guides & Planning Resources

Compare trade show booth rental options before you commit to a design or package. These resources help exhibitors understand rental scope, customization, budget responsibilities and preparation for U.S. events. Start with the Las Vegas rental guide, then review the related articles on rental versus custom booths, overlooked costs and planning schedules. Use the checklists below to separate the booth supplier’s proposal from show-service orders and prepare a consistent brief for quotes. Your show calendar, assigned floor plan, product displays and reuse goals should guide the choice.

Check the Scope Before Comparing Rental Quotes

A package name is not a scope of work. Ask each supplier to identify the deliverables, exclusions, quantities and responsibilities in writing.

Booth & Branding

Confirm the structure, dimensions, graphics, counters, flooring, furniture and lighting. List AV and custom-built features separately so the comparison covers the same design.

Delivery & Labor

Identify packing, freight, installation, supervision, dismantling and return responsibilities. Check the planned work windows and how changes to the scope will be handled.

Show & Venue Services

Check material handling, electrical, internet, rigging, cleaning and other applicable orders against the current event manual. Confirm who orders and pays for each item.

Use the booth cost and budget guides to review budget categories, and the trade show booth rental service page for Exhibitsmax rental configurations and project support.

Rental, Modular and Hybrid Describe Different Choices

Rental describes how you use the structure for an agreed project or event. Modular describes a system of reusable components; a modular exhibit can be rented or owned. A hybrid design combines rental components with selected custom-fabricated features.

Review what can be adapted, which graphics or custom elements you keep, and what returns to the supplier. Explore modular exhibit projects for system-based design references. Appearance alone does not establish whether a completed booth was rented or purchased.

Prepare a Brief That Makes Quotes Comparable

  1. Event & Assigned Space

Show name, city, venue, dates, booth number, dimensions, open sides and the current exhibitor manual.

  2. Brand & Booth Functions

Brand assets, product dimensions, demonstration needs, meeting space, storage and AV requirements.

  3. Rental Direction & Budget

Rental or hybrid preference, target budget, design references, decision deadline and future show plans. “Not sure” is a useful starting point.

  4. Delivery & Return Scope

Shipping origin, receiving arrangements, installation, dismantling and any items that require return shipping or storage.

For a broader preparation checklist, visit the booth planning guides. Compare layouts in 10×20 booth projects and 20×20 booth projects; confirm rental availability and scope for your own event.

Booth Rental Planning FAQs

What should I check in a trade show booth rental proposal?

Check the approved layout, structure, graphics, furniture, flooring, lighting and AV against the quoted scope. Identify freight, installation, dismantling, return responsibilities and any separate show-service orders. Compare proposals using the same brief and ask suppliers to document exclusions and assumptions.

Does a rental booth have to use a standard design?

Reusable components can be configured and branded through graphics, counters, displays, lighting and selected custom features. The options depend on the available system, inventory, booth dimensions and project schedule. Review the proposed design and deliverables before confirming the rental.

How should I compare rental and custom booth budgets?

Compare the complete project scope and your expected show program. Include graphics, custom elements, freight, labor, venue services and any reuse, storage or replacement needs. Rental is not automatically the lower total-cost choice for every event program.
